Managing Plan Visibility

What Is Plan Visibility?

Visibility controls whether enrolled employees can see the plan on their dashboard:

  • Visible — Full access to the plan, performance, and awards

  • 🚫 Restricted — Nothing—plan is hidden from their view

When to Use Restricted Visibility

  • Testing a plan before making it live to employees

  • Preparing awards before revealing them

  • Onboarding employees gradually

  • Sensitive situations where timing matters

Visibility Banner

If any participants have restricted visibility, you'll see a banner on the plan details page:

"X employees can't see this plan yet" [Share Plan]

Click Share Plan to update visibility settings.

How to Update Visibility

Method 1: From the Banner

  1. Click Share Plan on the visibility banner

  2. The Update Visibility modal opens

Method 2: From Actions Menu

  1. Click the Actions menu (⋮)

  2. Select Update Visibility (if available)

Update Visibility Modal

The modal may have multiple steps depending on your plan's state:

Step 1: Choice (if plan has approved data)

If the plan has approved distributions and is currently hidden, you'll be asked:

  • Clear Data — Remove existing awards before sharing

  • Skip for Now — Keep existing data and proceed

Step 2: Clear Distributions (optional)

If you chose to clear data:

  • Select which periods to clear

  • Confirm the reset

Step 3: Update Visibility

  • See all enrolled employees

  • Set each employee's visibility: Visible ✅ or Restricted 🚫

  • Use "Select All" to change everyone at once

  • Click Confirm to save

Important Considerations

Before making visible:

  • Employees will immediately see the plan

  • Any approved awards will be visible

  • Performance data will be accessible

⚠️ Warning: If employees have already seen awards and you later restrict visibility, they may have already viewed previous results.
