Importing Employees via CSV Upload

This guide walks you through importing your employees into ShareWillow using a CSV file

Step 1: Download the Template

1. On the ShareWillow onboarding page, click Upload CSV

2. Click Download Template to get a pre-formatted CSV file

3. Open the template in Excel, Google Sheets, or any spreadsheet application

The template includes all the columns you need with the correct headers.

Step 2: Fill Out Your Employee Data

Add your employees to the CSV file.

Important: Email is required for each employee. Rows without an email address will be skipped during import.

Formatting tips:

- Hourly Rate / Salary: Enter numbers only (e.g., 45.00 or 90000)

- Start Date: Use the format YYYY-MM-DD (e.g., 2022-01-01)

- Phone Number: Numbers only, no dashes or parentheses (e.g., 5551234567)

Step 3: Upload Your CSV

1. Click Upload CSV on the onboarding page

2. Either:

- Drag and drop your CSV file into the upload area, or

- Click to browse and select your file

ShareWillow will process your file and import the employee data.

Step 4: Review and Edit Employees

After uploading, you'll see a list of all imported employees. You can:

1. Review each employee's information

2. Edit any details by clicking on a row

3. Create new departments or roles on the fly — just type a new name and it will be created automatically

Click Continue when you're done reviewing.

Step 5: Complete Onboarding

The final screen confirms your import. Click Complete Onboarding to finish.

Troubleshooting

"Only .csv files are allowed" error

Make sure your file is saved as a CSV. In Excel, use "Save As" and select "CSV (Comma delimited)".

Some employees weren't imported

Check that every employee row has an email address. Rows without emails are skipped.

Hourly rate showing incorrectly

Remove any currency symbols or commas from the Hourly Rate column. Use plain numbers like 45.00.
